Sawyer Kensington Trust DRAFT Meeting Minutes November, 19th 2008 In attendance: Mike Motherway, Mike DelSesto, Bruce cilley, Donna Carter, Kristy Blundell. 1.) EJBL president, Jeff Dickenson, requested use of baseball fields every weeknight and 1-2 games on saturdays. Approx. 300 children play in EJBL, there are 31 teams and 59 games per season. EJBL's schedule will be set in March. Last season EJBL was charged a $10 fee per game. Mike DelSesto recommended for 2009 season there be no fee charged per game, with exception of night games due to light usage. Mike D. & Bruce recommended EJBL be responsible for lime, conditioner, prepping pitchers mound, game day field prep. Jeff of EJBL agrees with field maintenance. Fees for playoffs and tournaments not yet detemined. Jeff requested that the park trust consider coverting soft ball field to a 70 feet base pass for major league game use. As well, Jeff stated that if the trust is interested in hosting a tournament this request must be submitted by March. As well, it was stated lights can only be turned on for approved night games. Lights will be programmable for 2009 season. It was agreed upon that based on the above discussion the Park Trustees will send recommendations to Jeff, prior to the trustees next meeting on 12/2, then submit to Kensington Board of Selectmen. 2.) Dave, Kensington's field manager, is interested in starting a mens softball league beginning in May 2009. He requested use of the soft ball field 3 nights a week, 3 games per night starting at 6:15pm. Usage of lights would be required for the last game of the evening. As well, Dave is interested in starting a coed, town only, Sunday morning soft ball league. Dave stated this league would run from the end of June until Labor Day. The rec. comm. does not currently offer a mens or coed league, therefore Dave would be the coordinator of these leagues. 3.) Mary Jane, speaking on behalf of the rec. comm., requests a specific job description be put in place for the field manager. Mike D, Mike M. & Bruce all state each sport has a contact person for field issues. Rec. comm. or KYAA member field rep is Kensington's contact person for specified sport. The trust has no involvement in a specific sporting event with the exception of the concession stand. Mary Jane stated that with increase use of the park there will be an increase in vandalism and broken equipment. Mary Jane questions who is responsible for this, the trust or the town? If swing breaks or bees need to be sprayed for, who is responsible? The trustees agree this needs to be determined and this item will be put on an upcoming agenda. As well, Mary Jane confirmed with trustees the concession stand should be open for the tree lighting on 12/7. Cider, hot chocolate, donuts etc. will be available at the concession stand for this event. Mary Jane requested a water fountain & spicket be made available for cleaning up. Mary Jane suggested the Pavilion should be seal coated. 4.) Chester from Yard Spice, an organic turf company, provided a proposal for organic care of the park. The park trustees agreed to get another quote from a 2nd organic lawn care company. As well, quotes from 2 "chemical" lawn care companies will be obtained. Soil test will be completed in the coming week. 5.) Bills reviewed and approved. Bruce provided all park trustees with the Sawyer Kensington Trust financials thru September, 2008. There will be a freeze on all capital expenditures. Mike D. will obtain an estimate for skate board park equipment. Long term fundraising suspended at this time. 6.) Winter park activities: tree lighting ceremony set for 12/7. Ice skating rink will be available this winter. Refrigirator/freezer to be shut down. Tables will be brought in. Ralph will provide cleaning services 3x per week in November & 1x per week in December. 7.) Mike D., to talk to local business regarding possible equipment donation. 8.) Trust organizational structure will be reviewed by Kristy and presented at next meeting. 9.) Next meeting is scheduled for 12/2 at 7:30pm. Meeting adjourned at 11:20pm.
